Professional invoicing for hotels and restaurants. Correct GST calculations, sequential invoice numbering, guest GSTIN support, and one-click GSTR-1 export. Free forever.
Hotel invoicing isn't just generating a bill. It's maintaining sequential records, capturing guest tax details, splitting CGST and SGST correctly, tracking deposits against final payable amounts, and producing data your accountant can actually file with. Zitlin handles all of this — free for small properties, with no separate accounting software required.
Used by hotel accounting teams across India and Southeast Asia for daily billing operations.
Invoice Number Sequencing — Financial Year Aware
Every invoice Zitlin generates carries a sequential number tied to the financial year. Example: ZIT/26-27/RO-48 — Room invoice 48 in the 2026–27 financial year.
You choose your sequencing model:
- Single sequence — one running number across all invoice types
- Multiple sequences — separate series per invoice type:
RO— Room / accommodation invoicesRS— Room service invoicesRT— Restaurant invoicesEV— Event space and banquet invoices
Zitlin tracks the financial year automatically and resets sequences at the correct date for your country — April 1st for India, January 1st for most of Europe, and other country-specific financial year starts where applicable.
This is the invoice numbering model your accountant and GST filing require — not a workaround.
GST Calculation — CGST, SGST, IGST Split
Zitlin calculates GST on each invoice line item at the correct rate and splits it correctly:
- CGST + SGST for intrastate transactions
- IGST for interstate transactions
- 0% GST for tariffs below ₹1,000/night
- 5% GST for tariffs between ₹1,001 and ₹7,500/night
- 18% GST for tariffs above ₹7,500/night
- Separate rates for restaurant within hotel vs standalone restaurant
Tax is calculated on the taxable base amount — not the total — and shown as a separate line:
| Room charges (taxable base) | ₹1,420.96 |
|---|---|
| CGST @ 2.5% | ₹35.53 |
| SGST @ 2.5% | ₹35.53 |
| Total | ₹1,492.00 |
You can also add, remove, or customise tax components per property for non-standard tax configurations or non-GST registered properties.

Guest GSTIN and Tax ID Capture
For business guests and corporate bookings, Zitlin captures the guest's GSTIN or other tax identification number on the invoice. This is essential for:
- B2B hotel stays where the guest company claims input tax credit
- Corporate invoicing requirements
- Correct output tax liability calculation on your end
Guest GSTIN appears on the printed and PDF invoice exactly as required for a valid tax document.
Advance Deposits and Net Payable Tracking
Deposits collected at booking are tracked against the final invoice. The invoice shows:
- Total invoice amount
- Advance / deposit already collected
- Net amount payable at checkout
- Round-off amount
- Payment mode per settlement (Cash, UPI, bank transfer, QR payment)
A guest who paid a ₹1,492 advance deposit sees a ₹0 balance at checkout — with the full deposit trail visible on the invoice for accounting reconciliation.
Void and Cancellation Tracking
Cancelled or voided invoices are retained in the system with a void flag — never deleted. This maintains your sequential invoice record without gaps, which is a GST compliance requirement. Your accountant can see every invoice number in sequence, including voided ones, for a complete audit trail.
QR Code Payments — Settled Against Invoice
Each invoice can be settled via QR payment, cash, bank transfer, or a combination. Zitlin records the payment mode against the invoice:
- UPI (India)
- VietQR (Vietnam)
- QRIS (Indonesia)
- DuitNow (Malaysia)
- Thai QR Payment (Thailand)
- SGQR (Singapore)
- QR Ph (Philippines)
- SEPA (Europe)
The settled status updates automatically when payment is confirmed, giving your front desk and accounting team a real-time view of outstanding balances.
GSTR-1 Export — One Click
At the end of a filing period, download a GSTR-1 compliant Excel workbook directly from Zitlin. The export includes all invoice data formatted for GST return filing — invoice numbers, taxable values, CGST, SGST, IGST, customer GSTIN, and HSN/SAC codes where applicable.
No manual data entry into your CA's spreadsheet. No reconciliation between your PMS and your accounting software. Download and file.
CSV Invoice Export for Accounting Teams
Every invoice record is exportable as CSV with full field detail:
- Invoice number and type
- Financial year sequence
- Customer name, contact, address, and tax ID
- Discount rate and amount
- Taxable base, tax components, and total
- Deposit and advance applied
- Net amount payable
- Payment modes and settlement status
- Zitlin internal ID for cross-reference
Your accounting team can import this directly into Tally, Zoho Books, QuickBooks, or any accounting software that accepts CSV.
Multi-Tax Support Beyond GST
For properties outside India or operating across multiple tax regimes:
- VAT (UAE, UK, Europe)
- SST (Malaysia)
- Custom tax rates per invoice line item
- Non-GST registered properties — invoices generate without any tax fields, compliant with Indian GST threshold rules
Tax configuration is set once per property. All future invoices apply it automatically.
Zitlin vs Separate Hotel Billing Software
Most hotels in India use their PMS for reservations and a separate billing or accounting tool for invoicing — paying for both. Zitlin handles reservations, restaurant POS, and GST-compliant invoicing in one system. There is no separate billing software to subscribe to, no data export between systems, and no reconciliation between two sources of truth.
Frequently Asked Questions
Is Zitlin's invoicing really free? Yes. Invoice generation, GST calculation, QR payment recording, and CSV export are all included in the free plan. The free plan has a monthly invoice limit — Pro removes it entirely.
Does Zitlin generate invoices that satisfy GST audit requirements? Yes. Invoices include sequential numbering per financial year, CGST/SGST/IGST split on taxable base, guest GSTIN, void tracking, and a complete payment trail. These meet Indian GST invoice requirements under the CGST Act.
Can I specify my own invoice number prefix or series? Yes. You configure the prefix and choose between single or multi-sequence series. Zitlin maintains the sequential numbering from that point automatically.
What happens to invoice sequences at the end of the financial year? Zitlin detects the financial year change automatically based on your country setting and resets sequences from 1 for the new year. India resets on April 1st.
Can my accountant or CA access the invoice data? Yes. The CSV export contains all fields an accountant needs. You can also grant your CA a separate login with read-only access on the Pro plan.
Does Zitlin support non-GST registered properties? Yes. Properties below the GST registration threshold generate invoices without GST fields. You configure this once during setup.
Can a single invoice include room, restaurant, and extra charges? Yes. Combined invoices merge room stay, room service, restaurant charges, and add-ons into one document with correct tax calculation per line item.
Does Zitlin track which invoices are paid and which are outstanding? Yes. Each invoice has a settled status updated when payment is recorded. Your front desk and accounting team see outstanding balances in real time.
